This policy explains how The Intelligent Workforce ("we", "us") handles personal data when you visit our website or use our HR software.
Two roles we play
For account holders (the company admins who sign up), we are the controller of your account and billing data. For employee and candidate records your company enters into the software, your company is the controller and we act as its processor, handling that data only on its instructions.
What we collect
- Account data: company name, your name, work email and a password (stored hashed).
- Billing data: plan, seat count and payment status. Card details are handled by our payment provider and never stored by us.
- Customer content: employee, time-off, document, recruiting and review records your company chooses to enter.
- Security data: sign-in events and two-factor authentication status, used to protect accounts.
We do not use advertising trackers, sell personal data, or share it for cross-context behavioural advertising.
Why we use it (legal bases)
- To provide the service under our contract with you.
- To keep the service secure and prevent fraud (legitimate interests).
- To meet legal, tax and accounting obligations.
Who we share it with
Only service providers needed to run the product: cloud hosting and database, email delivery and payment processing. Each is bound by data protection terms. We may disclose data where required by law.
Retention
We keep account data while your subscription is active. After cancellation, customer content is deleted within 90 days unless the law requires longer retention.
International transfers
Data may be processed outside your country. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses.
Your rights
Depending on where you live (for example under the GDPR, UK GDPR or US state laws such as the CCPA/CPRA), you may have the right to access, correct, delete or export your data, object to or restrict processing, and not be discriminated against for exercising these rights. Employees and candidates should contact their employer first. You can also complain to your local data protection authority.
Security
Data is separated per company, encrypted in transit, and every sign-in requires two-factor authentication.
Children
The service is for businesses and not directed at children under 16.
